Information for Exhibitors

Venue

The exhibition will be held in the Indian Ocean Suite, immediately adjacent to the main conference auditorium (Sirius Room) and the poster session auditorium (Pleiades/Orion Room). The layout can be viewed on the Exhibition floor plan.

Exhibition Package

The exhibition package includes:
  • A Booth - 3m wide x 2m deep x 2.4m high,
  • Wall panels: Flush panel system covered with Velcro compatible front-runner fabric,
  • Fascia exhibiting company's name in standard style letters (maximum of 30 letters) (logo style extra),
  • 1 single power point with isolation switch (240 Volts, 5 amps, 1200 W),
  • 2 x 150 watt spot lights,
  • Standard registration for one person (includes Welcome Reception and Conference Dinner),
  • List of registrants with address, telephone, fax and email.

Exhibitor Broadband/Internet Request

Exhibitor Broadband/Internet access does not form part of the above Exhibition Package and requires a separate application, made directly to the Esplanade Hotel in advance of the event. Additional Registrants

A nominal charge of AU$200 (GST included) will be made for each additional company representative, and includes official conference name badge, morning and afternoon teas and welcome reception (conference dinner not included).
If you have registered for additional representatives to attend with you, please complete the additional registrants information form for each additional representative and return form/s as soon as possible to the OFS secretariat by email or fax.

Local Exhibition Contractor

Once payment has been received, exhibitors will liaise directly with the exhibition contractor for all additional electrical, furniture, etc requirements. These items will be supplied to you at an additional cost, and you will be invoiced separately by the contractor:

Exhibition Conditions

Booth Preference

Booth preferences will be honoured wherever possible but the organisers reserve the right to reconfigure the exhibition space and reallocate booths.

Cancellations

For cancellations made prior to 31 January 2008 (notified to the conference secretariat in writing) a refund of fees paid less AU$500 will be made. After this date, refunds will not be possible.

Public Liability Insurance

Exhibitors are required to ensure that they are adequately covered for public liability insurance. This refers to damage or injury caused to third parties/visitors on or in the vicinity of the exhibition stand. The exhibitor indemnifies the organisers in respect of any claim and demands in respect thereof. The exhibitor must take out adequate insurance in respect of all such claims.

Security

Whilst every endeavour will be made to ensure the security of the exhibition outside of the conference opening hours, the organisers accept no liability for damage to exhibits by loss, damage, theft, fire, water, storms, strikes, riots, or any cause whatsoever. Exhibitors are advised to insure against such liability.

Delivery Instructions for Exhibitor items sent to the Esplanade Hotel

Exhibitors planning to have large items or special equipment delivered to the hotel should email the relevant details to the hotel ahead of time. For delivery of regular items/standard size boxes no advance notification is required, but a label must be completed and attached to every item. The required labels can be downloaded here. All labeled items must be sent to:

Goods must be delivered between the hours of 8.30 am and 4.30 pm, Monday through to Friday to the Loading dock.
Concierge MAY accept smaller items outside of loading dock hours, subject to prior arrangement.
Goods delivered earlier than 3 days prior to the function will not be accepted without prior arrangements. ALL goods must be removed from the hotel no later than 2 business days after event completion, unless prior arrangements have been made.
